However, it’s important keep in mind that virtual meetings can lead to challenges if not managed carefully. Following a few easy guidelines will result in a successful online meeting that has a high involvement from the board and thorough documentation.

Begin with a clear, concise agenda. Involve your board members in the agenda-setting process, and send them an agenda well ahead of the meeting to enable them to prepare for the discussion. This will keep your board focused and ensure that all subjects are discussed during the meeting.

Utilize video conferencing during your meetings to ensure that participants can see each other. If members of the board can’t see body language or hear each other clearly, it becomes difficult to be engaged. Additionally, video conference is a great way to keep away distractions such as pets, children and household activities.

Note all the decisions made during the meeting, and include notes from each person who participated in the decision. This will make your meeting minutes easier to refer to in the future and ensure that all decisions are recorded in full.
