Online board meeting is a great method to keep your board members involved and make decisions without the time and expense of travel. However, a few common challenges can impact the effectiveness of your meetings, and can hinder the efficiency of your board.

Disconnections. Remote participants may have trouble connecting to a virtual conference, unlike those who attend in person. Although this isn’t an issue, it can create a feeling that there is a disconnect and reduce the level of engagement. Make sure that you have the video conferencing solution that is easy to use and offers excellent audio quality.

Inadequate documentation. A crucial part of the board meeting is recording minutes, which must be clear and accurate. Ideally, the designated minutes-taker will document all discussions and decisions in order to avoid any confusion later. In addition, you should consider investing in an electronic document management system that allows for secure sharing and storage of meeting materials and documents.

Engagement of board members is low. It is difficult to replicate the camaraderie that you experience in person. To combat this, try adding a few icebreaker activities and breakout sessions, or a quiz to your meeting.

Time limitations. One of the major drawbacks for a meeting that is online is the limited amount of time to discuss each item on the agenda. Be sure to set the proper amount of time for each discussion and stick to it. Also, try not to overburden your directors with boring topics that are difficult to talk about.
